Here are some prompts to get the conversation started with Barry...
Risk Managers:
- What are the top threats? (i.e. top 10, top 20 etc)
- What are the themes in the insights (quantitative and qualitative)?
- What common activities can be tackled by different teams?
- Draft mitigation options for these common activity themes
- Draft an email to the relevant teams outlining these suggestions and their thoughts ahead of the risk review
- The procurement team has indicated that the <resource/team/equipment> for <activity> will be 2 months late, what impact will this have?
- Should I use another supplier that can get these parts/people/resources to site only 2 weeks late?
- Draft an email to the procurement and site teams to explain the situation and ask for input on the best route forward
- Also loop in the planners to see if we can re-sequence works to avoid a delay
- We will go with the other supplier, draft an email to update the PM on this change
- What are the top threats in the <Discipline> WBS?
Project Manager/ Director:
- Summarise the high risk activities in this project, including which discipline has the most risk
- Write an email to the project sponsors to explain this risk position
- Write an email to each discipline lead (list of disciplines) to highlight the riskiest activities in each area and some suggested mitigation measures
- Draft an agenda for a discipline lead meeting to discuss these measures
Planning:
- How many activities are planned for <MM/YY> ?
- How much float is in this schedule?
- What is the critical activities leading up to <milestone>?
- Can you help me do <X> (re-plan the schedule, assess cost, strategise mitigations etc - i.e. some it can’t do, some it can do)
- How do you assess if an activity is high risk?
